This Privacy Notice applies to the processing of personal information by SWH LABS LLC ("CalBot," "we," "us," or "our") including on our website available at https://calbotservice.com and our other online or offline offerings which link to, or are otherwise subject to, this Privacy Notice (collectively, the "Services").

We may update this Privacy Notice from time to time in our sole discretion. It is the user's responsibility to check this page periodically for updates.

2. PERSONAL INFORMATION WE COLLECT

We collect personal information that you provide to us, personal information we collect automatically when you use the Services, and personal information from third-party sources, as described below.

Personal Information You Provide to Us Directly

We may collect personal information that you provide to us.

  • Account Information. We may collect personal information in connection with the creation or administration of your account. This personal information may include, but is not limited to, your name, email address, phone number, and other information you choose to store with your account.
  • User Calendar Data. When you connect your Google or Microsoft accounts to our Services, we will access your calendar data ("User Calendar Data"). You have control over what User Calendar Data you permit us to access. You can revoke our access to your User Calendar Data at any time.
  • User Contacts Data. When you connect your Google or Microsoft accounts to our Services, you may choose to grant us access to your contacts data ("User Contacts Data"). You have control over what User Contacts Data you permit us to access. You can revoke our access to your User Contacts Data at any time.
  • User Email and Messaging Data. When CalBot is copied on an email thread, CalBot will access the body or content of your emails to provide the scheduling Services ("User Email and Messaging Data"). You can revoke our access to your User Email and Messaging Data at any time by removing CalBot from the applicable thread.
  • Preferences. Your preferences for meeting times, durations, video conferencing providers (such as Zoom, Google Meet, or Microsoft Teams), notification settings, and other preferences you may choose to store with your account.
  • Purchases. We may collect personal information and details associated with your purchases, including payment information. Any payments made via our Services are processed by third-party payment processors (Stripe). We do not directly collect or store any payment card information entered through our Services, but we may receive information associated with your payment card information (e.g., your billing details).
  • Communications with Us. We, and our service providers, will collect the information you communicate to us, such as when you contact us for support.

Personal Information Collected Automatically

We may collect personal information automatically when you use the Services.

  • Device Information. We may collect personal information about your device, such as your Internet protocol, user settings, cookie identifiers, other unique identifiers, browser or device information, Internet service provider, and location information (including, as applicable, approximate location derived from IP address).
  • Usage Information. We may collect personal information about your use of the Services, such as the pages that you visit, the types of content you interact with, the frequency and duration of your activities, and other information about how you use the Services.
  • Cookie Notice (and Other Technologies). We, as well as third parties, may use cookies, pixel tags, and other technologies ("Technologies") to automatically collect personal information through your use of the Services.

3. HOW WE USE PERSONAL INFORMATION

We use personal information for a variety of business purposes, including to provide the Services, to improve the Services, to develop new products and services, and to operate our business.

Provide the Services

We use personal information to fulfill our contract with you and provide the Services, such as:

  • Communicating with you;
  • Answering requests;
  • Providing you with access to certain areas, functionalities, and features of the Services and third-party websites, applications, services, products, and technology, such as Google Calendar, Microsoft Outlook, and Zoom that integrate with our Services;
  • Facilitating scheduling, managing your account, responding to inquiries, and addressing technical issues;
  • Processing your financial information and other payment methods; and
  • Ensuring internal quality control and safety.

Limits on Use of Your User Calendar Data

To the extent that any User Calendar Data to which you provide us access to constitutes personal information under this Privacy Notice, it will be subject to the provisions of this Privacy Notice. Notwithstanding anything else in this Privacy Notice, if you provide us with access to User Calendar Data, our use of that data will be subject to these additional restrictions:

  • The User Calendar Data will be used only to provide or improve the Services.
  • The User Calendar Data will not be used for serving advertisements.
  • The User Calendar Data will be read by humans only in the following cases:
    • As necessary for quality assurance purposes if we are alerted of a system error;
    • If we obtain your affirmative agreement to view specific data from your account;
    • If it is necessary for security purposes (such as investigating a bug or abuse);
    • As necessary for internal operations, provided that the data has been aggregated and anonymized.

Improve the Services and Develop New Products and Services

We may use personal information included in your user content (such as scheduling messages to CalBot) to improve the Services.

Your data is never used for AI model training. Under our contractual terms with our AI model providers, user data cannot be retained or used to train their AI models.

Operate Our Business

We use personal information to operate our business, such as:

  • Pursuing our legitimate interests such as research and development, network and information security, and fraud prevention;
  • Carrying out data analytics;
  • Creating de-identified and/or aggregated information;
  • Enforcing our agreements and policies;
  • Defending, enforcing and protecting our rights and interests and those of third parties;
  • Sending notices about your account (e.g., expiration or renewal notices); and
  • Carrying out activities that are required to comply with our legal obligations.

With Your Consent or Direction

We may use personal information for other purposes that are clearly disclosed to you at the time you provide personal information, with your consent, or as otherwise directed by you.

4. HOW WE DISCLOSE PERSONAL INFORMATION
